If you're an active Google+ user and are not familiar with Google+ Events, you must strive to know about this excellent feature. It's a powerful way to pull your audience, peers, networks and potential customers to the business or personal events irrespective of the hosting place (online or offline). There are several useful features added to Google+ Events to make it a complete online event management solution. It's extremely easy to use both for the organizers as well as for the attendees. To get the maximum benefit from Google+ Events, you must follow some simple guidelines that are easy to implement. The real power of Google+ Events is experienced through the Android application used by all the attendees. It's deeply integrated with Google Calendar so that the participants can easily follow and sync the timings on their device. So let's get started and see how to use this Google+ feature to make our events - a hit.

Select the most relevant theme

It is one of the most important settings while creating an event. Graphics and illustrations immediately attract attention and are one of the most essential parts of a Google+ event invite. Whenever you create a new event, start with attaching the most relevant theme that perfectly compliments event's purpose. This way, all the invitees can know about event's purpose at a glance.

Google+ events themes

You can choose Google+ event themes in four different ways that give you the flexibility of integrating the best possible graphics such that all the participants can immediately relate the graphic with the upcoming event.

  • Featured - These are select animated and non-animated theme templates commonly depicting popular events like birthdays, beach party, office party and much more. Most of the users will find these themes sufficient for their events.
  • Stationary - These non-animated pattern templates that can be used for generic events not related to a particular occasion. You can also use these templates to keep the invitees in the guessing mode.
  • Your albums - You can also use Google+ photos or albums to select a perfect graphic for your event's theme. You can crop these photos to get the desired portion for the theme. Cropping these photos won't affect the original photograph in the album.
  • Direct upload - And last but not the least is the direct uploading facility that lets you take a photograph either from your computer's hard drive or from your smartphone's camera. This adds more professionalization to the event's theme especially if it is a private event.

Fill the required details for maximum visibility

While creating a Google+ event, you can submit lots of relevant information to optimize it for audience, participants and of course for yourself. These chunks of information are the backbone of a typical Google+ event which differentiates it from all other events. Some of these fields are mandatory while others are optional. Depending on the type of event you may feel the need to fill these optional fields. So let's take a look at these fields one-by-one and see how to make the most out of them for creating a successful event.

Google+ event creation fields
  • Event title - Quite similar to the event theme, the title also plays an important role in pulling participants once you send the invites. Carefully choose the phrases or keywords such that it not only outlines the event's purpose but also ensures that there's no ambiguity related to the event. This will bring more participants to your event or it may create a snowball effect such that more and more participants join it beyond your expectation.
  • Date & time - No event can be successful unless invitees don't know the date and time when it is going to be hosted by the organizer. There are two methods to provide date and time for your Google+ event. The first method includes a single entry for date and time when it is going to be hosted. The second method provides you with two fields of start and finish time so that participants can also know the exact duration of the entire event.
  • Location - You can also provide the details of the exact location where you're hosting your event. This field populates with the hyper-linked Google Maps location of the area. This way all attendees can easily find the location on Google Maps. In case, it is an online event, you can leave this field blank.
  • Additional details - Although this is an optional field, it is very handy in some situations where you want to give additional instructions or suggestions to the participants. This field is generally used for official or commercial events where the organizers have good number of instructions for the participants.
  • Website/blog URL - If you've created a dedicated page for the upcoming event on a website or a blog, you can provide its URL for the participants so that they can get detailed information about the entire event. Make sure this URL is public and doesn't require a login.
  • Ticket selling URL - This optional field is mostly used for commercial and business events where participants need to buy a ticket before entering the event venue. Always double check this URL as it is one of the most important information for the attendees. Do not shorten ticket selling URL as it may raise suspicion in the minds of some of the participants resulting in fewer conversions.
  • Personalized invite video URL - You can also upload an invite video for the participants that they can view as soon as they receive an invite from you. You can either leave a personal message for the invitees or you can hire a professional to create one for you. These invite videos can do wonders in elevating the attendance level.
  • Transit and parking information - If you're hosting an event in a crowded metro city or in a remote area, you can provide additional traffic details along with the information related to parking facilities near the venue. Since this is an optional field, most small-scale event organizers can leave this field empty.
  • Invitee selection - And last but not the least is the regular user selection field whom you want to invite. You can either select a public visibility or can select individual Google+ users. You can also include selective circles for your event. Note: If you've selected 'Events on air' option in the advanced settings, it will override the visibility making your event visible to everyone on the web.

Encourage participants to use the 'Party Mode'

Google+ events have an excellent feature called 'Party mode', that enables smartphone users to upload event photos in real time at a central shared location on the dedicated event's page. This enables all the invitees to contribute to making the event successful as they create a database of event's photographs that are automatically shared with everyone attending that event.

Later on, when the event is over, these shared photographs can be accessed either from the event's page or through the Google+ album where they're stored permanently. Party mode helps in capturing every moment of the event that can be cherished later by everyone who has contributed to the image database. Both iPhone and Android users can easily use this mode to make the event memorable. This is one of the best features available in Google+ events that are nonexistent in another similar kind of services.

Make most out of Google Calendar

Google Calendar users have a reason to smile. You can directly create Google+ events within Google+ calendar with ease. Whether you create them on Google+ or inside Google Calendar, they appear at the right location in your calendar from where you can manage them easily. You, invitees, don't even need to visit Google+ to respond to your invite. If they're an avid Google Calendar user, they'll automatically receive the invite within their calendar and they can reject and accept your invite easily.

Similarly, event organizers have the liberty to create an event within Google Calendar simply by clicking on the date from which the event will start. It is a fast way to create small-scale events that doesn't require much information filling. This facility is ideal for creating personal events from within the Google Calendar. You can also configure reminder pop-ups for events created in Google Calendar.

Integrate & schedule Google+ Hangouts within your Google+ Events

If your upcoming event is an online gathering, you can easily integrate and can schedule a Google+ hangout in your Google+ event. This way, whenever the event time will arrive, a Google+ Hangout notification will be sent to each participant so that each one of them can head over to the event page for joining the hangout.

Google+ Hangouts in Google Events

Remember, if you've integrated a hangout with your Google+ event and it's on air, you can only reserve up to 10 video chat seats for the participants. This restriction is due to the sheer volume of participants that may arrive on public Google+ events. This facility is ideal for small-to-medium sized online events where the participants need to interact with each other from remote and dispersed locations. Whenever you're scheduling a Google+ Hangout within your event, I'll strongly suggest you indicate about the same both in your YouTube invite video (if any) and in the details field. This ensures that none of the invitees miss the information about the hangout while accepting his participation in the event.
